Summary: We only access the Gmail and Google Sheets data necessary to send your follow-up emails. We never sell your data, never read your emails for advertising, and never share your information with third parties for marketing purposes.

1. Introduction

FollowUp Pro ("we", "our", "us") operates the FollowUp Pro Chrome extension and backend service (collectively, the "Service"). This Privacy Policy explains how we collect, use, store, and protect information when you use our Service.

By using FollowUp Pro, you agree to the collection and use of information in accordance with this policy. If you do not agree with any part of this policy, please do not use our Service.

2. Information We Collect

We collect the minimum information necessary to provide the Service:

  • Google Account Information: Your email address, display name, and profile picture obtained through Google OAuth 2.0 authentication.
  • Gmail Data: Access to read email threads (to detect replies), send emails (to deliver follow-ups), and manage labels (to tag followed-up threads). We do not store the content of your emails on our servers.
  • Google Sheets Data: Access to write follow-up logs to a Google Sheet you designate, for your auditing and tracking purposes.
  • OAuth Tokens: Encrypted access and refresh tokens to maintain your authenticated session with Google services.
  • Follow-Up Configuration: Your templates, schedules, and settings that you configure within the Service.

3. How We Use Your Information

Your information is used exclusively to provide and improve the Service:

  • Sending Follow-Ups: We use your Gmail access to send automated follow-up emails on your behalf, according to the rules you configure.
  • Reply Detection: We check email threads to determine if a recipient has replied, so we can automatically stop follow-ups.
  • Labeling: We create and apply Gmail labels to help you track which threads have active follow-ups.
  • Logging: We write follow-up activity to your designated Google Sheet for your records.
  • Service Improvement: Aggregated, anonymized usage statistics may be used to improve the Service.

4. Data Storage & Security

We take the security of your data seriously:

  • OAuth tokens are stored securely and encrypted at rest.
  • All communication between the extension and our servers uses HTTPS/TLS encryption.
  • We do not store the body or content of your emails on our servers. Email content is processed in memory only during follow-up operations.
  • Your follow-up configuration (templates, schedules) is stored in our database to provide the Service.
  • We implement industry-standard security practices including access controls, monitoring, and regular security reviews.

5. Google API Services User Data Policy

FollowUp Pro's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only request access to the Google API scopes necessary for the Service to function.
  • We do not use Google user data for serving advertisements.
  • We do not allow humans to read your data unless required for security purposes, to comply with applicable law, or with your explicit consent.
  • We do not transfer or sell your Google user data to third parties.

6. Data Sharing

We do not sell, rent, or share your personal information with third parties except in the following limited circumstances:

  • With your consent: We may share information when you explicitly authorize us to do so.
  • Legal requirements: We may disclose information if required by law, regulation, or legal process.
  • Service providers: We may use trusted infrastructure providers (e.g., hosting, databases) who are contractually obligated to protect your data.

7. Data Retention & Deletion

We retain your data only as long as necessary to provide the Service:

  • You can revoke access at any time through your Google Account permissions.
  • Upon revoking access, we will delete your OAuth tokens and associated data within 30 days.
  • You may request complete deletion of your data by contacting us.

8. Cookies & Tracking

The FollowUp Pro Chrome extension does not use cookies or tracking scripts. Our backend service may use session cookies strictly for authentication purposes.

9. Children's Privacy

Our Service is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected data from a child under 13, we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the revised policy.
